Privacy Policy

Ventra is warehouse software for an organisation and its staff. Each organisation has its own stock, branches, and people. This policy explains what the Android app and the admin website collect, and how to contact us.

What the app does

• Sign in to your organisation with an employee code or email.
• Scan a barcode to find a product and see its stock.
• Add, remove, move, and adjust stock at a branch.
• Record the warehouse place for a product: section, shelf, and slot.
• Show low-stock alerts and in-app notifications.
• Let a manager send a new product request, with a photo, barcode, quantity, and warehouse place.
• Let an admin review that request, then approve it into inventory or decline it.
• Send a phone notification when a request is approved or declined.
• Check the Play Store for a newer version of the app.

The admin website is where an organisation manages branches, staff, categories, products, requests, reports, and the activity history.

Information we collect

• Your name, employee code, email address, role, and branch.
• Your password, stored only as a hash.
• The organisation you belong to, including its name and logo.
• Stock changes you make: the product, quantity, branch, warehouse place, and the time.
• Product and request photos, and barcodes you enter or scan.
• A device token, so Android can deliver a notification about a request.

The camera is used only when you scan a barcode or take a product photo. Ventra does not track your GPS location, and it does not read your contacts, messages, or photos unless you choose a picture to attach.

How we use it

We use this information to sign you in, keep the stock records for your organisation, review product requests, show alerts, and send a notification about those requests. The Play Store check only compares the installed app version with the public store listing. We do not sell personal information.

Who can see it

People in your organisation see the stock and requests their role allows. An admin can see staff and activity for that organisation. Ventra staff who operate the platform can open an organisation when support requires it. The service stores the data so the app and website can run. We keep it while the organisation uses Ventra, and we remove an account when an admin deletes it or you ask us to.
